Data Retention & Disposal

Last updated: September 2026

This page describes how long MeetingMinder keeps data, and what happens when it's deleted — in plain terms, matching what the system actually does today.

While your account is active

Meeting records, attendance, your profile and organization data, and your rate settings are kept for as long as your account or organization is actively using MeetingMinder. There's currently no automatic expiration based on inactivity — data persists until you delete it or ask us to.

Deleting a meeting

Deleting a meeting from within the app marks it as archived rather than immediately erasing it — it disappears from your meeting list and reports right away, but is kept as an internal audit record (who deleted it, and why) rather than being permanently removed at that moment. This matches how the app already handles corrections and removals generally: changes are tracked, not silently discarded.

Permanent deletion

To have your data (or your whole organization's) permanently deleted — not just archived — contact support@mymeetingminder.com. Once we've verified the request, we permanently remove the relevant records from the live database. This isn't yet a self-service, instant action — it's a manual process on our end, handled promptly once requested.

Closing an account or organization

If you explicitly ask us to close your account or your whole organization's — not just downgrade to a lower plan, which is a normal, ongoing use of the product and doesn't trigger any of this — we permanently delete the associated data within 60 days of that request. Before final deletion, we send periodic warning emails to the organization's admin(s), so there's a real chance to reconsider or export anything needed first.

Backups

The database keeps automatic backups for 7 days, for disaster recovery. After data is permanently deleted, any remaining copies in those backups age out naturally within that 7-day window, after which no copies remain anywhere. See our Disaster Recovery & Backups page for how those backups are used to recover the service itself.
